Google Adding Features to the G Suite

It is apparent that Google is deeply invested in the G Suite, as they recently added an assortment of features to make basic processes much simpler and more convenient for their users. Here, we’ll go over a few of these updates, and how they can positively influence your operations.


Search Chips in Gmail

All G Suite subscribers will soon see improved search capabilities within Gmail, as Google’s developers have added an extra feature to help narrow down search results. Once a search is performed within Gmail, contextual options will appear below the search field.

For instance, let’s say you were looking for a specific email from your colleague Brian. Simply searching for “Brian” would bring up a mess of messages, chats, updates, and invites. Search Chips allows you to narrow your search by various filters without manually typing them. So, if you knew that the message from Brian you were looking for had a PDF attached, you can search for emails from Brian with PDFs attached.

Again, while this feature is currently exclusive to the G Suite, all Gmail accounts will soon have this capability built in.

Expanded Out of Office Notifications

Are you planning on being out of the office for an extended amount of time? Google is adding a feature that allows you to present this information in more context to your contacts who have access to your Google calendar. Suppose you have a vacation scheduled in your Google calendar. If Brian wanted to get in touch with you during that time, he would see that you were gone and when to expect you back.

Google Docs Autocorrect and Smart Compose

Google Docs (at least, the online version) is being augmented with the ability to automatically correct a user’s errors as they type – something many users will likely find to be a welcome addition. This feature is slated to be released to select G Suite subscription types. Likewise, select G Suite subscriptions may have noticed Smart Compose predictions appearing in their Google Docs as of late.

Admin Console Improvements

Administrators should be happy to see the assorted improvements that have been made to their Admin consoles, and we’re talking about more than the aesthetic changes. The entire interface’s integration has been improved, with more context provided in the options.

Context Aware Access in G Suite

There are just some things that different levels in an organization need and don’t need, respectively, which means that certain users shouldn’t be able to access certain things.  While admins were once only able to differentiate access control through organizational units, you can now control access via a user’s identity and the context that is inferred by a request. This means more granular control over your data, and by extension, more secure data. However, to use this feature, you have to be a G Suite user of Enterprise, Enterprise for Education, Cloud Identity Premium, or Drive Enterprise.

Defining Shadow IT and Its Risks

IT administrators are pretty particular about what software is used on the networks that they manage. This is not because we have any vested interest in the software itself, it’s because of the inherent reliability of the software they manage. They’ve tested it, they manage it, they know it. When an organization starts dealing with employee-downloaded software--especially if there is no procedure in place to report additions to IT--they can quickly lose control over the network. 


The software that isn’t properly vetted (or even reported most of the time) is called shadow IT. Since it’s the IT administrator’s job to oversee the data security and overall effectiveness of your company’s technology deployments, shadow IT can present them with a bunch of risk.  IT administrators hate risk. Today, we’ll take you through the good and bad of shadow IT.

Shadow IT is Bad

Most of the people that work with a computer have been working with similar technology for a long time. While they aren’t IT experts, they know what software works best for them. That experience will often result in them downloading software that hasn’t been approved by their company’s IT department or outsourced IT service vendor. This software, while useful for the user, may be a major problem for an organization, for several reasons.

The main issue is that any software that is downloaded may come with adware, spyware, malware, vulnerabilities, and other nefarious code that can put a business at risk. Worse yet, that software isn’t known to your IT admin, keeping it from the routine maintenance it needs to keep it from being a vulnerability. If your business carries vulnerable software, it can create a breachable hole in your network. So, while you may not see continuous problems, risk is magnified. 

What are the risks? Here are a few:

  • A lack of security - Without the visibility and control over network-attached resources, IT management becomes much more difficult. If there is a potential that a piece of software can put a hole in your network, you are compromising the network’s security.
  • Problems with performance - If the tool that’s implemented doesn’t mesh with the system it’s installed on, the app’s performance--and thus the user’s--will be compromised.
  • Compliance problems - If your organization needs to meet certain compliance standards, the presence of unmanaged software makes it almost impossible to meet said standards.
  • Data loss - If IT management doesn’t know that a software is on the network, it won’t be covered by organizational backup strategies, meaning work completed using shadow IT apps won’t be backed up.

The minute you understand the risks, it becomes clear why IT admins typically don’t like shadow IT at all.

Can Shadow IT be Good?

Risky behavior can be a major problem for a business. It can also result in significant reward. According to a study conducted in 2019, there is a shift in the way that IT admins are looking at shadow IT. This is mainly the result of organizations looking to improve productivity and to use available capital more effectively. For the detrimental risk that shadow IT can bring a company, there is an opportunity to save time and cut costs.

The study, which included 1,000 IT professionals, showed that a whopping 77 percent believe that embracing shadow IT solutions can help a company innovate quicker than their direct competition. That’s not all.

  • 49 percent said that shadow IT boosts productivity.
  • 45 percent said that shadow IT helps promote employee engagement.
  • 40 percent said that shadow IT helps promote adherence to IT security requirements.
  • 40 percent said that shadow IT would help reduce employee turnover.

Effectively, two-fifths of IT admins said that shadow IT’s detriments could be ignored. That’s not to say that I know any IT administrator that would be totally okay with having unsupported applications on company-owned machines. Not one would deliberately put a gaping hole in their organization’s network to boost productivity. 

What they would promote is the use of shadow IT that is brought onto the network through employee-owned devices. This practice is being shown more leniency now more than ever. After all, IT admins can’t possibly be responsible for every piece of software brought onto the network by employees. They bring laptops, and tablets, and smartphones, and IoT devices, and with all those devices, there are bound to be programs that IT admins typically wouldn’t want on there, but would accept if it kept decision makers happy and productivity high.

Tech Term: What are All These “-Wares?”

When you’re talking about something to do with a computer, you’re going to start hearing about some word that ends with “-ware.” You could probably list off a few yourself, but have you ever stopped to think about why they’re all described as “something-ware?” For this week’s Tech Term, we’ll take a peek at why we refer to things that way.


Why ‘Ware?’
It does seem like a strange part of the word, unless you look back to where we get it. According to Wiktionary, Software was first coined as a term in 1953, and was named based upon the fact that the term for the physical elements of the computer were already known as hardware. A quick peek into the online Merriam-Webster dictionary gives us a few definitions for the root of that word, ware.

The ones we’re concerned with are the first and the last definitions in the first entry: “manufactured articles, products of art or craft,” and “an intangible item (such as a service or ability) that is a marketable commodity.” We can combine these to give us a fair representation of what soft-’ware’ means: “manufactured articles to provide a service that is marketable.” After all, what is a computer program, if not an assortment of code meant to complete a specific task desired by a specific audience?

The word was first coined by Paul Niquette in 1953.

Different Software ‘Wares’
As you may imagine, there are plenty of varieties of ‘wares.’ Wiktionary.org offers a pretty impressive list of software types, with names derived from ‘-ware’, including the ones that you’ve already heard about, and some that are minutely specific. We’ll go over a few of these lesser-known varieties here:

Dreamware - This software type covers those that have not yet begun development and are still in the “what if there was a software that…” phase. Many of these projects never begin development, remaining something that some software developer once dreamt up.

Trialware - This variety of software is that which is only available to the user for a limited period of time, after which it is only available in a restricted form (if at all). This can be considered the free sample of software, offering just enough to make you want more.

Crapware - You know how a new computer often comes pre-installed with programs that you have no interest in, let alone the need for? This is what is known as crapware, as it takes up space without really offering anything to you. Another four-letter synonym for ‘crap’ can also be combined with “-ware” to make another, more forceful term for this variety.

Foistware - Malware can often come bundled with other, more legitimate software titles, to be installed without the user knowing. Of course, other programs can do this as well. Foistware is the term given to these software stowaways.

Fanware - Professionals aren’t the only ones capable of writing code, and even professionals will continue their coding in their off hours. Fanware describes the products that special-interest coders write to promote that interest.

Nagware - Another version of trialware, nagware describes a software title that will interrupt a user with persistent reminders to register it. Nagware will often disable the use of the program for short intervals during use, or display pop-up dialog boxes. In essence, this kind of trialware is designed to coerce a user into purchasing the full version through annoyance.

Garageware - This is a not-so-nice term for software that simply doesn’t perform as it should or has a lot of mistakes. The name is meant to suggest that the creators were total amateurs, developing this program literally in their garage.

3 Types of Software and How Businesses Use Them

For the modern business owner or executive, making smart business decisions has become a necessity. Margins are small, efficiency is key, and if we were to be completely honest, business is a day-in and day-out grind. In the course of doing business much is made of cost reduction and curtailing inefficiencies that lead to wasted capital. Much is made of collaborative systems that allow for remote access. Much is made of protocol, process, and performance. With so many moving parts in every business, there has to be the “glue” that allows for cohesive actions to be taken. That “glue” is software.


IT is a multi-trillion dollar business ($3.5 trillion in 2017 according to Gartner), and enterprise software, that is the software that businesses use to conduct business, makes up for around a tenth of it, at $351 billion. Any way you slice it, software is a significant expense for most businesses. This month, we are going to take a look at the types of software that businesses use most, what they use it for, and how to decide a certain software works for your business.

Business software comes in many types. It includes custom systems, cloud systems, and programs you buy off the shelf anywhere. Businesses have been using software for decades; long before the PC revolution changed the economy forever. Today, there are very few businesses left that don’t rely on any software at all. At first software was extraordinarily pricy, but as demand went up, prices went down and now even the smallest business can utilize much of the same software that their enterprise counterparts use.

For our purposes we will split the software businesses use into three separate categories. They are: security, operations, and relationships.

Security Software
We’ll start with security software, since without it, you may not even need the other two types. Security software is, as the name suggests, the software you use to keep your organization’s computers free from threats. Any computer with an operating system will have some security built in, but for a business, you are likely going to need more, and in some cases, a lot more.

The first thing you’ll need to know about security software is that you are in danger. Your data is being targeted by innumerable entities that are looking to steal it from you for their own gains. In fact, for every threat that is developed to breach network security, there has to be a solution created that mitigates it. This fact has led to a massive security market in which consumers, even the IT-savvy ones, are left overwhelmed and scratching their heads. Some threats include:

  • Ransomware
  • Phishing
  • Viruses
  • Malware
  • Trojan horses
  • Denial of service (DDOS)
  • Hackers
  • Human error
  • Sabotage
  • And more...

Conversely, if you are able to stop these threats before they get in to your business’ computing network (or onto the PC where you do your business computing), you will have a secure computing environment 100 out of 100 times. This is why it is essential for small business owners and technology executives at larger businesses to understand what they need to do to ensure that threats can be intercepted, destroyed, or avoided completely.

Some examples of security software include:

  • Access control - As the name suggests, access control provides a construct in which to manage permissions for the people inside and outside of your organization’s network to access certain parts of your computing infrastructure.
  • Antivirus - For good measure we’ll add anti-spyware, anti-malware, and any other program that is designed to take the teeth away from any unwanted program on your network or PC. An updated and maintained antivirus is your best hope if threats somehow make it onto your network or PC.
  • Backup software - Part of building comprehensive organizational security is having a plan in case a threat gets through. Having a backup system in place is essential; and, today there are enterprise-level software solutions that will help your entire organization protect the data your staff depends on.
  • Firewall - The firewall is a virtual wall that aims to keep any threats out of your network or PC in the first place. As mentioned above, many computers come with firewalls installed, but an enterprise firewall that is constantly updated and maintained is your best chance to avoid trouble all together.
  • Intrusion detection/prevention - Intrusion detection is a system that continuously scans your network or PCs for malicious activity or policy violations. Intrusion prevention actively works to mitigate any malicious activity or policy violation.
  • Security information and event management (SIEM) - A system that provides real-time analysis of any alerts, allowing administrators to automate the process of threat analysis and logging.
  • Spam protection - Generally found in a dedicated email filtering solution, or as a part of a unified threat management system (UTM), spam protection deciphers incoming emails and determines which emails are delivered and which ones aren’t.

Keeping your network free from threats will go a long way towards running an effective business. Speaking of which, in the management and operational side of your business, software has also become extraordinarily important. In fact, without some forms of productivity software, your business may not even exist.

Operations Software
When you talk about operations software, we mainly mean the software that is used to complete the work your organization does. Productivity software is made up of all the applications used to complete the work.

There are millions of different applications that people use to get work done. In fact, there is effectively software created each day to fill in the gaps left by other pieces of software. If security software is the walls around the city, operations software is the city itself, providing the infrastructure for goods and services to be rendered.

Productivity software comes in many forms and has been designed to make human work easier. Whether your staff depends on simpler, less-resource-intensive programs such as word processors or spreadsheets; or, they depend on graphics studios or resource-intensive video-editing or 3D rendering suites, productivity software is where the goods and services your business offers get built in earnest.

In business, some of the most utilized productivity applications come delivered in cloud-hosted suites. This allows the developer to provide businesses and individuals value, while still maximizing their software’s profitability. One example would be that Microsoft Word has more demand than PowerPoint, but by bundling Word, PowerPoint, Excel and the rest of their productivity apps into a cloud-based package: Microsoft Office 365, Microsoft is able to offer all these useful titles as a monthly service, delivering enterprise products to users and, through these apps’ collaborative capabilities, strengthening their value proposition to consumers.

Some types of productivity software for business include:

  • Project management software - Effective management of a project is essential to its success. With project management software you can assign work, manage timelines, deadlines, and collaborate with others.
  • Office suites - Generally it is comprised of a word processor, a spreadsheet, and a presentation app. Most will also offer an integrated email and calendar app, a database manager, note-taking app, website tools, and more.
  • Accounting software - A business needs to manage its money, but today’s accounting software can bring with it a lot of nice additions that are designed to help meet any organization’s needs.
  • Industry-specific software - Advertising-to-zoning, and every industry in between, developers have made a software that will help your organization be more efficient.
  • Custom software - Having a custom piece of software developed that directly meets your needs is a good way to boost your organization’s efficiency.

With the cost of doing business going up, investing in the right operational software will go a long way toward improving productivity and helping you build a better business. If you want the best business you can manifest, however, our last type of software is essential.

Relationship Software
Business is all about creating relationships. Business owners and executives have relationships with their staff, their staff have relationships with their vendors and customer, their vendors and customer have relationships with other businesses, and other businesses are in open competition with you. Without properly managing your relationships, your business will have a hard time being successful.

From a business perspective, if operations software is the city, relationship software is all the people; and, since chances are you are building your product or service for people to use, managing relationships has to be a priority. Typically, the software that allows you to best manage the relationships you have are also the most difficult to master and are expensive.

When people think of relationship management, they typically think of Customer Relationship Management (CRM), but there are more types of relationship management tools that may fit your business better. There is Professional Services Automation (PSA) software that has been developed for professional services like lawyers and IT professionals. There is Enterprise Resource Planning (ERP) software developed for manufacturers and distributors. All this software is developed with one thing in mind: managing the relationships you have to keep business moving efficiently.

No relationship is more important than the one you have with your customers; and today, managing their expectations of you is more difficult than ever. With social media being what it is to our society, managing expectations, demand, and being able to properly support your products and services are essential to maintaining a healthy business. For the smaller business, online marketing, social media, and maintaining an active role in the community in which you work is extremely important. By utilizing software to make your social media and marketing activities a little easier, you can cut down on the time you are focusing on maintaining your relationships and spend more time developing and producing products and services that are valuable to your consumers.

Some additional relationship management software to consider include:

  • Content management system - If you plan on being active on the Internet, finding a content management system that allows you to quickly and affordably manage your website is a good plan.
  • Social media management software - Having a central hub to be able to manage all of your social media initiatives can save your organization plenty of time and money.
  • Human resources software - Not only do all your employees depend on your HR department for the administration of their work experience and their professional development, you typically depend on them for quite a bit (often including payroll). Having a dedicated HR software can streamline what is a time consuming and often frustrating part of doing business.

Tip of the Week: Google Drive is Better with these Chrome Extensions

Google Drive provides its users with a considerable amount of utility. However, when combined with extensions made for Google’s Chrome browser, users have the tools to make their use of Drive’s capabilities even more efficient. For this week’s tip, we’ll go over a few Chrome extensions that your business might find useful.


Drive/Docs Companion
These two extensions, Drive Companion and Docs Companion, take Google’s web applications and turn them into virtual desktop applications. In other words, these web apps are essentially converted into an application like any other on your computer. When you open any of your files from the Drive Companion window, another desktop application window will open up.

Docs Companion, from the same developer, functions very similarly to Drive Companion. The only real difference is that it is specific to Google Docs. Instead of opening a virtual desktop application of your Google Drive, Docs Companion opens directly to the word processing page of Google Docs.

If the applications that Google offers have any weaknesses, they can be irksome to navigate to and from throughout the day. Drive Companion and Docs Companion make that process simpler.

Office Editing for Docs, Sheets, and Slides
While Google offers considerable utility in their applications Google Docs, Google Sheets, and Google Slides, there are a few weaknesses to these applications that may make it a better choice to utilize Microsoft’s corresponding applications, Word, Excel, and PowerPoint, to initially create your content. Frankly, there are a few utilities that Microsoft’s applications are better at, a very important example being spell-checking capabilities.

However, with Office Editing for Docs, Sheets, and Slides, you and your team can leverage the improved utilities that Microsoft supplies, along with the easily-used collaborative abilities that Google’s applications offer. With this extension in place, you can drag a Word, Excel, or PowerPoint file from your computer’s drive into a Chrome window, and the right Google app will load it.

This extension can also automatically access Microsoft Office files sent using Gmail, shared as a web link, or that have been saved in your Google Drive.

Quick Drive
This extension frees you of the need to navigate through your entire Google Drive to pull up a file. While this may seem a little silly, there are two things you need to consider:

First, do you really want to show your hand during a client meeting as you pull up relevant documentation?

Secondly, as the saying goes: time is money.

Quick Drive enables you to search your Google Drive for the proper documents through a panel that appears when you click the application’s icon in the Chrome Toolbar. Just start typing the name of the appropriate document, or applicable keywords, and matching documents in your Drive will start to appear.

You can also use the Favorite and Recent tabs to find documents that have been starred or opened recently as another quick way to access a pertinent document on the fly.

DriveCast
Presenting your work can be a pain, especially when you have to hook up your laptop to a display or projector. If you have a Google Chromecast in the office, this Chrome extension can make this process much easier. DriveCast, appropriately enough, can cast content in supported formats directly from your Google Drive to a Chromecast device.

After installing DriveCast and linking your computer to the Chromecast you need to use, the DriveCast icon in your Chrome toolbar will open a new tab that lists your Google Drive folders alphabetically. Once you’ve navigated to the content you want to cast, click on the file and select ‘DriveCast’ in the window that will appear below the page’s address box.

Google Will No Longer Display Results As You Type--Here’s Why

If you hadn’t yet noticed, there’s been a change made to the Google search engine that will influence how search results are presented to users. Google’s ‘Instant’ feature, introduced in 2010, is no more.


Instant was what would cause results to begin appearing the moment you started to type a query into the search engine’s homepage. This function was different than the search suggestions that users see in a drop-down as they type their search, which will continue to appear.

The elimination of Google Instant is the result of an effort by Google to focus more strongly on how people are searching, given the variety of devices that may now be used. Google’s statement reads:

“We launched Google Instant back in 2010 with the goal to provide users with the information they need as quickly as possible, even as they typed their searches on desktop devices. Since then, many more of our searches happen on mobile, with very different input and interaction and screen constraints.”

In other words, so many people have transitioned from using Google on a desktop to using Google on a mobile device that it is no longer practical for Google to continue supporting Instant. That, combined with the tendency for many to use their browser’s address bar to initiate a search (which Instant wasn’t compatible with), reduced the efficacy of the feature to the point that it wasn’t worth maintaining.

This only shows that all businesses, even those as large as Google, need to adapt their business strategy to suit their customers. Otherwise, they will find an alternative that meets their needs better.
