It can feel like every phone call, text message, and email is an attempt to steal money or compromise your network. Scammers target individuals and organizations constantly, using increasingly refined tactics.

While you cannot stop bad actors from sending fraudulent messages, you can implement simple controls to reduce risk. Here are four practical steps you can take to protect yourself and your organization.

Establish a Two-Channel Verification Rule

Impersonation is one of the most common methods used in corporate fraud. Attackers frequently pretend to be vendors, financial institutions, or executives within your own company.

If you receive an email requesting a change to banking details, a wire transfer, or an urgent payment, never respond directly to that message.

Enforce a Mandatory Cooldown Period on Urgent Requests

Fraudulent communications rely heavily on artificially created urgency. Attackers create pressure by threatening legal action, claiming account termination is imminent, or demanding immediate invoice settlements.

Force a mandatory five-minute cooldown period whenever a message demands immediate action or creates sudden pressure.

Step away from your screen before taking action. When you re-examine the message with a clear mind, technical inconsistencies—such as mismatched sender addresses, minor domain misspellings, or unusual payment demands—become much easier to spot.

Remove the Fear of Reporting Security Mistakes

Employees often hesitate to report clicking a suspicious link or entering credentials on an untrusted page due to fear of disciplinary action.

When employees stay silent out of fear, bad actors gain hours or days to move across a network undetected.

Establish an environment where reporting security mistakes immediately is encouraged. Scammers are professionals, and falling for a sophisticated trap happens. Prompt reporting allows your IT team to revoke compromised credentials and isolate threats before significant damage occurs.
